Registration for a visa to Poland is a mandatory stage of its registration, during which the date of the visit to the consular department is set and a questionnaire is filled out. To register, you need to go to the special service e-konsulat. The service is available in many languages, including Russian. But before proceeding with registration, it is advisable to familiarize yourself with the specifics of filling out the questionnaire in advance.

Why you need to register

You need to register in the e-konsulat system for several reasons. Firstly, during registration, the date of receipt of documents at the Embassy or Consulate General of Poland is determined.

Secondly, the visa application form is filled out in electronic format. After filling it out, you should print it and put your signature in the right places.

The application form printed from the e-konsulat service is one of the main documents required for applying for a Polish visa.

If this is not done, then the documents at the consular mission of Poland will not be accepted from you.

You can register for submission of documents only on certain days of the month. Sometimes these dates fall on weekends or holidays, then you should focus on the last working day before the holiday / weekend.

If there are no vacancies, the Polish mission recommends contacting the VFS Global Visa Application Center. When contacting the visa service center, in addition to the consular fee, you will also need to pay a service fee.

In addition, if you need help in preparing documents, then for an additional fee, the staff of the visa center will provide services for filling out a questionnaire, obtaining insurance, photographing, as well as delivering a passport.

It should be borne in mind that registration with the Pole's Card is not required. In this case, you only need to fill out the form and then print it out. To do this, on the e-konsulat service, you need to select the function "Fill in the application for a national visa".

If necessary, without registration, you can also fill out and print an application form for a short-term Polish visa - for this, you should select the option "Fill in the application for a Schengen visa".

How to fill out the questionnaire

You need to register for a visa to the Polish embassy in 2021 online using the e-konsulat service.

  1. To begin with, in the upper right corner, select the language for providing information on the site.

  1. Next, you will be asked to select a country and consular office in one of the cities.

  1. On the left, options for filling out the questionnaire will appear:
  • register an application form for a national visa;
  • fill out an application for a national visa;
  • register an application for a Schengen visa;
  • fill out an application for a Schengen visa.

Choose the option you want. It should be noted that if you choose the filling option instead of registration, you will not be able to set a date for a meeting at the consular office of Poland - in this case, you can only fill out and print the application form, so choose registration.

  1. Next, a small instruction for filling will appear, at the end of which you will need to enter a captcha.

  1. Choose the type of service: a Schengen visa or a family member of a Polish / EU citizen (if you have chosen to register a Schengen visa) or a national visa or Pole's Card (if you have chosen to register a national visa).

  1. After that, you need to choose the date of the meeting that suits you from the options offered and click the "Register" button.

Step-by-step instructions for filling out the questionnaire:

  1. Enter your surname exactly as it is written in your passport.
  2. Enter the last name given at birth (if you changed it after marriage or for another reason). If the last name has never changed, just re-write it.
  3. Enter your name exactly as it is written in your passport.
  4. Enter your date of birth.
  5. Enter the name of the settlement where you were born.
  6. Indicate the country in which you were born.
  7. Here the applicant needs to indicate his citizenship.
  8. Indicate your citizenship at birth, if it has changed.
  9. Enter your gender.
  10. Enter your marital status (you need to choose from the options provided).
  11. Enter the identification number.

Passport information

  1. Select the type of your travel document - here you need to select "regular passport".
  2. At this point, you need to indicate the series and number of your passport.
  3. Enter the date of issue of the document for travel abroad.
  4. Enter the document expiration date for overseas travel.
  5. Enter the code of the authority that issued you the foreign passport.

Completion for minors

This item should be left blank if the applicant is an adult. If a minor is required to fill out a questionnaire, then the information about the parent or guardian filling out the questionnaire must be indicated here.

Applicant contact information

  1. Here you need to write the address of the official place of residence, phone number, email. When filling out the latter, you need to be very careful, since the email address you entered will be used in the future for feedback with you.
  2. Indicate if you have a residence permit in another country. If so, enter the number and its expiration date.

  1. Select your current profession from the drop-down list.
  2. Provide information about the employer or educational institution if you are a student / school student.

  1. Select the purpose of your trip from the list or enter your own.

Travel info

  1. Indicate the main country of your stay.
  2. Indicate the country of first entry into the Schengen area. If you are flying or traveling to Poland in transit through another country, you must specify it, and not Poland.
  3. Indicate how many entries you are applying for.
  4. Write down how many days you plan to stay in Poland.

  1. Indicate whether you have previously been issued Schengen visas and the validity period of the last one.
  2. Please note if you have previously submitted biometric data (fingerprints).
  3. Please note if you have a permit to enter the next country after Poland (in the case of a Schengen visa). In the case of a national visa, this issue is omitted.

Host Information

  1. Enter your last name, first name, address and other contact information about the person who will host you in Poland.
  2. If there is no inviting party, enter the address of the hotel or other location.

  1. Indicate whether you pay for the trip yourself or the sponsor pays for it. Check if the person who invited you is a sponsor. If the sponsor is different, then enter his last name and first name or the name of the company / organization. Then, from the options provided, select how you would like to pay for your travel expenses.

  1. If you are a relative of a citizen of an EU or EEA country who maintains you, then enter his name, surname and other contact information. If there is no such relative, just check “not concerned”.

Applicant details

  1. Check the last three boxes, thereby confirming that you are familiar with all the information specified in them, namely, that:
  • in case of refusal, the consular fee is not refundable;
  • about the need for insurance;
  • that you have provided correct information about yourself and that you agree to leave Poland upon the expiration of your visa.

  1. After filling out, carefully check the form and click the "next" button.
  2. Save the application form, print it and take it with you to the consulate.

What to do after obtaining a visa

Obtaining a visa to Poland can sometimes be accompanied by some problems. For example, a visa was issued for a shorter period than the applicant expected, or instead of a multiple visa, a single or double visa was issued. Therefore, immediately after receipt, you need to very carefully check the information on the visa.

It may also be that a typo was found in the visa. Therefore, if an error is found, you must immediately inform the consul or an authorized person about it. If a mistake was made through their fault, they are obliged to cancel this visa and paste the correct one as soon as possible. If no errors were found during the check, you can safely go on a trip.
